The Branch Administrative Assistant supports the Branch Manager in the daily operations of the branch. This role is responsible for administrative coordination, documentation processing, customer communication, and ensuring efficient office operations. The ideal candidate is organized, detail-oriented, professional, and able to work independently while contributing positively to a team environment.
- Assist the Branch Manager with daily operational and administrative tasks.
- Manage pick ticket printing and distribute dispatch documents to the warehouse.
- Conduct pick ticket audits to verify quantities and process invoices accurately.
- Answer incoming calls, route calls appropriately, and enter orders when possible.
- Coordinate communication among branch staff regarding order errors, add-ons, or changes.
- Print and distribute invoices for truck runs, common carriers, UPS, and other delivery services.
- Sort and distribute incoming mail and faxes; prepare outgoing mail and faxes.
- Compile, sort, file, and maintain all branch paperwork and documentation.
- Process credit memos, correction orders, and return merchandise authorizations as approved by management.
- Make bank deposits and post office trips as directed by the Branch Manager.
- Prepare weekly driver mileage and drop reports.
- Maintain accurate and organized customer files.
- Order non-inventory office supplies following established procedures.
- Maximize office productivity through proficient use of Microsoft Office (Word and Excel) and other relevant software applications.
- Perform additional duties as assigned.
Minimum Qualifications
What We're Looking For:
- High School Diploma or GED required.
- Minimum of 2 years of related administrative experience, or an equivalent combination of education and experience.
- Proficiency in Microsoft Office applications, particularly Word and Excel.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Professional, courteous, and responsive communication skills.
- Ability to maintain confidentiality.
- Strong customer service orientation.
- Ability to work independently with minimal supervision.
- Team player with a willingness to take on additional responsibilities as needed.
